Cancel an order and restore stock

Cancel the right order safely and understand exactly when tracked stock returns to inventory.

What you’ll accomplish

  • Cancel an open or paid order.
  • Know whether stock should return.
  • Check restoration warnings and inventory history.
  • Avoid double-adjusting stock.

Cancel the order

    Open the order detail.

    Confirm the order reference and customer before changing anything.

    Choose Canceled from the status control.

    Read the confirmation message before continuing.

  3. 3

    Confirm the cancellation.

    Vacto updates the status and restores stock for eligible tracked items in the same operation.

  4. 4

    Read any warning returned by the order.

    A deleted product or variant may prevent a saved order item from being adjusted. The order status can still change.

    Open Inventory if a warning needs review.

    Use the product stock and adjustment history to make a justified manual correction only when needed.

Stock restoration rules

  • Tracked stock is reserved when the order is created.
  • Cancelling an open, COD, pending-payment, or paid order restores the reserved quantity exactly once.
  • Cancelling an already delivered order does not restore stock because the units were treated as sold.
  • Untracked products are not adjusted because Vacto never reserved a quantity for them.
  • Reopening a cancelled order reserves the quantity again and clears the restoration flag.
  • Cancelling the reopened order can restore it again because it was reserved again.

If the result is not what you expected

  • If stock did not return, confirm the order was not already Delivered and the item used tracked inventory.
  • Check whether the product or variant was deleted and whether the order showed a warning.
  • If stock appears doubled, review adjustment history before making another correction and contact support with the order reference.
