COD ecommerce operations

Cash on delivery needs an order system, not just a payment label

COD can reduce checkout friction, but it creates operational work: validating details, confirming the order, arranging delivery, handling refusal, and keeping stock accurate. Vacto organizes the order; it does not pretend those risks disappear.

A useful fit for

  • Egypt-based stores where a meaningful share of customers asks for COD.
  • Social sellers moving from DMs to a repeatable order process.
  • Small teams that need product, stock, and order visibility together.
  • Sellers willing to confirm orders and own the delivery policy.

Not sufficient by itself for

  • Guaranteed delivery, fraud prevention, or zero order refusal.
  • Automatic courier fulfillment in every location.
  • Online card capture or payment authorization.
  • Complex warehouse, route-optimization, or enterprise returns operations.

What Vacto can organize

The system improves the information and workflow around COD; the seller still runs the physical operation.

01

Clear product information

Reduce avoidable questions by publishing prices, options, availability, and product details before checkout.

02

Structured buyer details

Collect contact and delivery information in a consistent order form rather than reconstructing it from chat.

03

Recorded incoming order

Keep the order inside the seller dashboard so it can be reviewed and progressed operationally.

04

WhatsApp confirmation path

Continue to the seller's configured WhatsApp flow when that is the preferred way to confirm details.

05

Order-status visibility

Use status tracking to separate new, in-progress, completed, or cancelled work according to the available dashboard workflow.

06

Seller-defined policies

Publish delivery, payment, support, and return information that matches how the store actually operates.

Clear boundaries

COD risks the software cannot remove

Reliable COD depends on the seller's confirmation, fulfillment, data handling, and policy discipline.

  • A submitted order is not proof that the customer will accept delivery.
  • Vacto does not guarantee customer identity, address accuracy, courier performance, or cash collection.
  • The seller must confirm delivery areas, fees, timing, returns, refusals, and unavailable items.
  • Manual payment instructions should be shown only when configured and actually accepted by the seller.
  • Customer data must be handled under the store's applicable privacy and legal obligations.

A responsible COD workflow

  1. 01

    Publish the policy

State delivery areas, expected timing, fees, returns, and when the customer will be contacted.

  2. 02

    Collect complete details

Use the checkout form for the customer's contact, address, products, quantities, and relevant notes.

  3. 03

    Review and confirm

Check availability and contact the customer before handing the order to a courier when your process requires it.

  4. 04

    Fulfill and update

Arrange delivery through your selected method and keep the order status current for the team.

  5. 05

    Learn from outcomes

Track genuine cancellation and refusal reasons internally, then improve product details and confirmation rules without inventing public success claims.

FAQ

Cash-on-delivery questions

Does Vacto deliver the order?

No. Vacto records and helps manage the order. The seller arranges delivery or contracts a courier unless a separate assisted service is explicitly agreed.

Does Vacto collect the cash?

No standard Vacto feature collects COD cash from the customer. Cash handling and settlement belong to the seller and the selected courier arrangement.

Can customers use InstaPay instead?

A seller can provide configured manual-payment instructions such as InstaPay or wallet transfer. The store must not advertise a method the seller has not enabled or cannot verify.

Will COD orders update stock?

Vacto includes inventory and order-management tools, but the exact stock effect depends on the order lifecycle and product setup. Test the intended workflow before launch.

Does COD increase sales?

It can match some customers' preferred payment behavior, but no result is guaranteed. It can also create refusal, return, and cash-handling costs that should be measured.
